Job Function:

Opens and assigns repair orders to technicians. Assists in the processing of repair orders and warranty work.  Verify technician time is accurately posted to repair orders daily.  Assures that all charges related to repair orders are posted properly.  Must conduct themselves in the presence of customers in a manner that promotes a positive image of the company.  Advises and discusses clerical changes and improvements to the Service Manager.

Job Essential Duties:

  • Open repair orders as directed by the service manager, shop foreman, or technician.Monitor progress to ensure orders are completed and closed in a timely manner.
  • Verify technician labor time daily.  Ensure all hours are accounted for each day.
  • Maintain repair order and service inspection log books.  
  • Prepare a preview copy of completed repair orders for the service manager’s review and invoicing authorization.  Review all repair orders for accuracy and completeness concerning parts, materials and labor.  Ensure all repair orders have proper pronunciation and spelling. 
  • Maintain and report outstanding repair orders to Service Manager.
  • Post outside labor materials invoices to the appropriate repair order.
  • Assist in preparation of all management reports necessary to audit the performance of the department, and individual employees, on a periodic basis.
  • Maintain and file service department copies of repair orders after billing as machine history and customer records.
  • Receive and manage service related telephone calls.  Handle general inquiries and screen calls to ensure they are directed to the appropriate department.
  • Handle warranty claims including computation of charges, submission and follow-up.Maintain and balance warranty log.Complete and send warranty cards on a monthly basis.
  • Add new customer profiles and update existing customer files as needed/directed.
  • Assist the Service Manager/Shop Foreman in maintaining the service library with information that is current.Files bulletins, manuals, video tapes, etc. under the direct supervision of the Service Manager.
  • Conduct oneself so as to present a professional image of the dealership.Promotes loyalty and customer goodwill.
  • Perform all other clerical duties and functions as directed by management in line with the objectives of the dealership, including all department filing and records
  • Assist Service Manager with administering service-related customer clinics.
  • Perform other functions or duties as directed by management in line with the objectives of the dealership.
